Refund & Cancellation Policy

This Refund & Cancellation Policy explains how cancellations and refunds work for subscriptions to BatchBuddy, operated by The Little Tamar Dairy Company Pty Ltd (ABN 57 624 539 699).
This Policy forms part of our Terms of Service and should be read together with them. Nothing in this Policy is intended to exclude, restrict, or modify your rights under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010 (Cth)) or any other applicable law that cannot be excluded by contract.
1. Cancellations
1.1 How to cancel
You can cancel your BatchBuddy subscription at any time from your account settings (under Billing). No phone call or email is required.
Cancellation takes effect at the end of your current billing period. You will continue to have access to all paid features until then. We will not bill you for any further periods after cancellation takes effect.
If you would like cancellation to take effect immediately rather than at the end of your current billing period, contact support@batchbuddy.io and we will arrange this on request.
1.2 What happens after cancellation
- Your account converts to read-only mode (or to the free tier, depending on your plan).
- You retain access to export your business data for at least 30 days from the cancellation effective date.
- Your data is retained in accordance with our Privacy Policy data retention schedule, including the minimum retention periods for food safety records under Australian law.
- You can reactivate your subscription at any time during the data retention period and resume where you left off.
1.3 Free trials and free tier
If you cancel during a free trial, you will not be charged. Cancellation takes effect at the end of the trial period. The free tier does not require cancellation — you can simply stop using the Service.
2. Refunds
2.1 General refund principles
BatchBuddy subscription fees are billed in advance for the upcoming billing period (monthly or annually). As a general rule, fees are non-refundable for the period in which you used the Service. We do not provide automatic prorated refunds for unused time when you cancel.
However, this general rule is subject to your rights under the Australian Consumer Law and the specific circumstances described below.
2.2 Refunds we will provide
We will provide a refund (full or partial, as appropriate) where:
- You experienced a major problem with the Service that means it does not meet a consumer guarantee under the Australian Consumer Law (e.g., the Service is not of acceptable quality or is significantly different from what was described);
- You were billed in error (e.g., charged after cancelling, double charged, or charged for a plan you did not select);
- An annual subscription was charged within 14 days and you have not significantly used the Service during that period (a goodwill 14-day refund window for annual plans);
- Required by law in any other circumstances.
For monthly plans, we generally do not refund partial months. If you encounter a major problem with the Service, contact us and we will work with you to resolve it.
2.3 How to request a refund
Refund requests are handled manually by our support team. To request a refund, email support@batchbuddy.io with:
- The email address associated with your account;
- The date and amount of the charge;
- The reason you are requesting a refund.
We aim to acknowledge refund requests within 2 business days and to make a decision within 7 business days.
2.4 How refunds are processed
Approved refunds are processed via Paddle, our payment processor and Merchant of Record, and credited back to the original payment method. Bank or card processing times typically add 3–10 business days before the refund appears on your statement.
3. Australian Consumer Law Rights
Our products and services come with guarantees that cannot be excluded under the Australian Consumer Law. You are entitled to a replacement, re-supply, or refund for a major failure, and to compensation for any other reasonably foreseeable loss or damage.
For digital services like BatchBuddy, “major failure” can include things like:
- The Service is unfit for the obvious purpose for which it was sold;
- The Service has a problem that would have stopped you from buying it had you known about it;
- The Service is significantly different from the description or sample we provided;
- The Service has serious problems that we have failed to fix within a reasonable time.
For non-major failures, you are entitled to have the problem fixed within a reasonable time. If we cannot fix the problem, you are entitled to a refund or to cancel the contract and receive a refund for any unused portion.

4. Plan Changes
You can upgrade or downgrade your subscription plan at any time from your account settings.
- Upgradestake effect immediately. You will be charged a prorated amount for the remainder of the current billing period at the new plan's rate.
- Downgradestake effect at the end of your current billing period. You will continue to have access to your current plan's features until then.
5. AI Credit Top-Ups
AI credit top-ups are sold as one-time purchases that add credits to your account balance. Top-up credits do not expire.
Top-up purchases are non-refundable except where required by Australian Consumer Law (e.g., if the Service was significantly different from what was described, or if the top-up was billed in error). Unused credits are not refundable on cancellation.
6. Disputes and Chargebacks
Before raising a chargeback with your bank or card issuer, please contact us at support@batchbuddy.io so we can try to resolve the issue directly. Chargebacks raised without contacting us first may result in your account being temporarily suspended while we investigate.
